Every Australian booking platform integrates with dental software. None integrates with yours.

We checked the published integration lists. HealthEngine names 21 practice systems and not one is orthodontic. HotDoc's dental list has four, and none is either. That is a structural gap, and it changes what is buildable.

Two traps to avoid: a domain resembling an orthodontic system name belongs to a Melbourne dental practice, and another returns a certificate mismatch with no evidence it is an orthodontic system at all.

What follows from that

The lead store has to live outside the practice software.

If the practice management system cannot accept a click identifier and cannot be queried for an appointment outcome, then the identifier has to be held somewhere else. In practice that means the enquiry form on your own site writing to a lead store you control, with the identifier attached at the moment of enquiry, and a periodic reconciliation against the practice system by report export.

That is more work than a plug in, and it is honest work rather than a claim that cannot be delivered. The alternative, which several Australian orthodontic practices are effectively running today, is to count free consultation form fills and hope they correlate with revenue.

A warning about United States integration advice
American orthodontic marketing content assumes a software environment that does not exist here. The systems it names as integration friendly are either unavailable in Australia, as the vendor itself states of one major cloud product, or are gated behind partner programmes scoped to products that are not sold here. Anyone selling an Australian orthodontist a straightforward practice system connection for offline conversions is describing a market that is not this one.

Questions clinic owners actually ask

Can an Australian orthodontic practice do offline conversion imports?
Yes, but as a build rather than a setting. Neither of the two orthodontic systems with real Australian presence exposes a public API, webhook or automation connector, and both are closed on-premise SQL Server databases. So the click identifier has to be captured and stored outside the practice software, usually in a lead store fed by your own enquiry form, then reconciled against the practice system by report export. It works, it is genuinely useful, and it is not a plug in.
Why is my practice not on HealthEngine or HotDoc properly?
Because neither integrates with orthodontic practice software. HealthEngine publishes 21 practice system integrations, spanning general practice, specialist and dental systems, and not one is orthodontic. HotDoc lists four dental integrations, none of them orthodontic. Both still sell orthodontic listings. That means a listing is very likely operating as an enquiry channel rather than writing into your diary, which is worth knowing before you judge it on booking volume.
Should an orthodontic practice change practice management systems for marketing reasons?
No. The systems are chosen on clinical imaging, treatment planning and workflow, which is entirely correct, and none of the alternatives available in Australia offers a materially better marketing data position. The point of understanding the constraint is not to trigger a migration, it is to stop paying for integration work that cannot be delivered on your current stack, and to build the lead store approach that can.
What about practices running dental software with an orthodontic arm?
Those are in a considerably better position and often do not realise it. Centaur's Dental4Windows and Dental4Web expose a documented API with attendance flags and incremental sync by modification timestamp, which is close to purpose built for exporting an attended appointment with a timestamp. On-premise installations are reachable through secure data pipelines rather than being a dead end. If your orthodontic work runs through a dental system, the full measurement chain is available to you.
